Vaitly Meetings · Beta · Part of Pro

Every meeting, written down. No bot.

Vaitly Meetings records your calls in the background the moment they start. No bot joins the call and no Teams or Zoom admin has to approve anything. Afterwards you have minutes, decisions and action items, on a calendar you can search.

Supported apps

Works with the calls you already make

  • Zoom
  • Microsoft Teams
  • Google Meet (browser)
  • WhatsApp
  • Slack
  • FaceTime
  • Webex
  • ChatGPT voice
  • Claude voice
  • + Record now for the room, and recordings from your phone

How it works

You join the call. It takes the notes.

  1. 1

    A call starts

When Zoom, Teams, Google Meet, WhatsApp, Slack, FaceTime, Webex, or ChatGPT or Claude in voice mode starts using your microphone, VV notices within seconds and starts recording in the background. Nothing joins the call.

  2. 2

    Both sides are captured

Your microphone is transcribed as “You” and the call's audio as “Other participants”. If your speakers are picked up by your microphone, the echo is removed.

  3. 3

    Transcribed on your computer

The speech model runs on your Mac or PC and writes the transcript as the call goes. The audio is not uploaded or stored, and a crash mid-call does not lose what was already written.

  4. 4

    Written up when it ends

Recording stops when the call does. The meeting lands on your calendar with minutes, decisions and action items, ready to read, search or share.

Summaries

From an hour of talk to a page you can act on.

Every item links to the moment it was said. Owners are named only when someone named them, and figures the meeting never mentioned are dropped.

Minutes
A few clear paragraphs on what was discussed and concluded, with follow-ups.
Decisions
What the group settled.
Action items
What someone agreed to do, with their name when it was said.
Questions
What was asked and left unanswered.
Risks
Concerns and blockers that came up.

Find anything

Every meeting on your calendar, and every word searchable.

Week and month calendar

Every meeting on its day, in a week or month view. Turn on calendar access and each recording takes its event's name and the attendees' names, read on your computer.

Search that ranks

Search titles, transcripts and summaries across every meeting. The best match comes first, a hit in the title counts most, and each line opens at the moment it was said.

Ask your meetings

Ask a question in plain words — “what did we agree with the supplier?” — and get an answer drawn from your meetings, with the meetings it came from.

Action items, tracked

Every action from every meeting in one list, with its owner when someone named them, linked to the moment it was agreed.

A meetings pack every Monday

Last week's meetings in one place: what was decided, what you owe people and what is still open. Built from summaries already on your computer.

This week, at a glance

The Meetings home shows this week's meetings, what is coming up from your calendar, and the actions still open.

Take it with you

Word, PDF, Notion or Slack. Your choice.

Export a meeting in the format the next person needs, or send it straight to Notion or a Slack channel with your own connection. Speaker labels, if you want them, are worked out on your computer.

  • Export: Word, PDF, Markdown, plain text, SRT and VTT
  • Send to Notion or Slack with your own connection
  • Optional speaker labels on the far end, made on your computer
  • Import Teams and Zoom transcripts (.vtt, .srt, .txt)

Away from your desk

Meetings in the room, and recordings from your phone.

Press Record now for an in-person meeting. Recorded something on your phone? Save it from Voice Memos or any recorder app to a folder in iCloud Drive or OneDrive, and VV picks it up on your computer and transcribes it there, on the same calendar as everything else.

  • Record now, for meetings without a call
  • Watched iCloud Drive and OneDrive folders
  • Audio files: M4A, MP3, WAV, AIFF, FLAC and more
  • Phone folders are called “Vaitly Meetings”

What leaves your computer

  • Meeting audio: never. It is transcribed on your computer and not uploaded or stored.
  • Transcripts: kept on your computer, in their own database, separate from dictation history.
  • Summaries and questions: to write minutes, decisions and action items, or an answer about your meetings, the transcript text (for a question, excerpts from the few meetings it is about) goes to our server, which asks OpenAI to write them with storage turned off. Vaitly does not keep the text. Zero data retention is not in place. The Monday pack is put together on your computer from summaries you already have.
  • Backup: if you turn it on, meetings are encrypted on your device before upload, and can be opened only by a machine signed into your account.
  • Permissions: the microphone, and the system audio permission to transcribe the other participants.

Vaitly Meetings is in beta: we are still testing it across real calls on every app listed. On a Mac it needs Apple Silicon, and noticing calls needs macOS 14.4 or later.

Questions

About Vaitly Meetings.

Is Vaitly Meetings part of Pro?

Yes. It is included in Pro at £9.99 a month or £99 a year. It is not in the Free plan. It is in beta while we finish testing it on real calls.

Do I need a Teams or Zoom admin, or my IT team, to approve it?

No admin or tenant permission is needed, because nothing is added to Teams or Zoom and no bot joins. VV works on your own computer. Your organisation's own rules about recording still apply.

Does it record every call?

Only after you turn call recording on. By default it then records calls automatically and stops when they end. You can change it to ask first, turn it off, or set rules per app, such as never recording WhatsApp.

Do I need to tell people I'm transcribing?

Yes. Recording or transcribing other people can need their agreement where you are, and you are responsible for telling everyone on the call. The app asks you to confirm this before call recording can be turned on.

Is my meeting audio uploaded?

No. Audio is transcribed on your computer and is not uploaded or stored. To write minutes, decisions and action items, and to answer questions about your meetings, the transcript text is sent to our server, which uses OpenAI with storage turned off. Zero data retention is not in place.

What about meetings in the room, or calls on my phone?

Press Record now for a meeting in the room. For your phone, record with Voice Memos or any recorder app and save the file to a folder in iCloud Drive or OneDrive; the app picks it up on your computer and transcribes it there. There is no phone app that records calls.

Can it tell who said what on the other end?

It always separates you from the other participants. If you turn on speaker labels (optional, in Pro), a small voice model on your computer groups the other side's voices into Speaker 1, Speaker 2 and so on; nothing is uploaded, and it is in beta like the rest of Meetings. Names come from imported Teams and Zoom transcripts, which include speakers.

Can I get my meetings out?

Yes. Export any meeting as Word, PDF, Markdown, plain text, or SRT and VTT subtitles. Or send it to Notion or Slack, using your own Notion connection or Slack webhook.

Can I import transcripts from Teams or Zoom?

Yes. Import .vtt, .srt or .txt transcripts and they appear on the same calendar, with search and summaries.
